Get Started Using Charlotte Police Software
Things to Know:
- Create a 'Pawner Record' for each seller of guns and jewelry.
- A Pawner Record must be created before an item can be entered.
- Items are entered on the New-Pawn Screen using the 'Buy Outright' option.
- Police Reports in text (.txt) format must be emailed as attachments to Officer Dick Evans at devans1 at cmpd.org
- Items other than guns and jewelry may be processed using CMPD Software but they will not be reported to the police (not required).
Program Setup
- In CMPD Software click on File (upper left) then Program Setup.
- Click on each colored tab and enter information and make settings to configure CMPD Software for your business. (See Program Setup for details.)
Note that 'Guns' or 'Jewelry' can be set as the Default Category on the Inventory tab. This will eliminate having to select a Category each time a new item is entered.
- Click on Help (upper right in CMPD Software) and select Tutorial for an overview of the User Interface.
- Intro supports the use of any standard laser-style (inkjet, bubblejet, LaserJet) or dot-matrix printer for printing address labels, price labels, pawn tickets, sales receipts and checks.
- Police reports other than those required by the Charlotte police may be printed.
Create a Pawner Record
- Press the F5 key to open the New-Pawner Record.
- Enter a Pawner ID (which might be the first few letters of the last name, or just a number).
- Enter additional information.
- Drivers license: Use the first 'ID Type'. The state and number must be entered in this format: NC 23408475.

- Height should be three digits. Example: Enter six feet three inches as 603.
- ID Type must be chosen (Drivers License, etc.).
- Never record SSN (social security number).
- Phone #s must be in this format: 123-456-7890.
- Click OK to save entries and exit or click 'Save and Continue' (F5 on this screen only) to save entries and add another pawner.
- New pawner records will appear in the Pawners Table.
Enter a New Item
Because this is a pawn software program, items will be entered on the New-Pawn Screen as 'Buy Outright' items.
- To open a New-Pawn Screen:
- Press F4, select the pawner and click OK, or
- On the Pawners Screen, select the pawner and click 'New Pawn' on the right, or
- On the Pawns Screen, select 'New Pawn' in the Pawns Menu (lower left). (When entering the first pawn, there will be no menu options in the menus at the lower-left and at the right.)
- Enter a Description. (example: 10" Gold Necklace or Smith-Wesson 44)
- Choose Category (Jewelry or Guns). (The category can be set to Jewelry or Guns (in Program Setup on the Inventory tab) to eliminate having to make the selection each time.)
- Enter Details (Example: Herringbone No Stones)
- On the left click on the button named 'More User-Defined Groups'.
- For NCIC Property Type Code select 'G' for guns or 'J' for jewelry.
- Choose values for Jewelry Size, Total Points, Color/Metal, Gender, etc., or Guage, Model, etc. for guns. (Add choices in the drop-down menus by configuring User-Defined Groups.)
- Click OK to save entries.
- Back on the New-Pawn Screen, enter a serial # for guns and/or enter an 'Owner-Applied #' (any ID determined by you).
- Check 'Buy This Item Outright' (if it is not already checked).
- Note that the name of the field 'Fees' (upper right) changes to 'Paid Out' when this option is checked.
- The program will assign a Ticket Number (which cannot be edited).
- If the item is gold, use the drop-down menu to select Gold Carats.
- Click 'Another Item' (or press F4 (to add more items, if any).
- Select one of these options:
- Click OK to save entries. The item will appear in the table on the Inventory Screen..
- Click 'Save, Print Bar Codes' to save entries and print price labels with bar codes.
- Click 'Save, Preview, Print Pawn Ticket' to save entries, preview the pawn ticket and print it.
The pawn ticket can be printed any time later by selecting the entry from the list of entries on the Pawn Screen then selecting 'Print Ticket' on the right.
