CMPD Software User-Defined Groups

User-Defined Groups (UDGs) are essentially 'Sub-Categories' of Categories. These are the default Categories and UDGs in CMPD Software for police-reporting purposes:

For the Category 'Guns'

The following UDGs are assigned to the Category 'Guns'. When a gun is entered into inventory and the category 'Guns' is selected, these Groups will be presented and a 'Member' from each UDG may be selected:


For the Category 'Jewelry'

The following UDGs are assigned to the Category 'Jewelry'. When a piece of jewelry is entered into inventory and the category 'Jewelry' is selected, these Groups will be presented and a 'Member' may be selected from each UDG:

Other Categories and UDGs can be added but they won't be reported to the police. (See Other Categories and Other User-Defined Groups.)

There is room on the New-Pawn Screen for just 4 Groups. Additional Groups can be viewed by clicking on the Extended-UDGs Button:

These are the first few additional groups for guns:

For each Group, click the blue down arrow to view a drop-down list of options:


(It is not necessary to select a Member from each Group.)

Click the OK Button at the bottom of the screen to record selections.


Group Members

Each Group can have several 'Members' (descriptors). For example, the group 'Brand' for the category 'Guns' can have members several members like Browning, Colt, Remington, Ruger, Smith&Wesson, etc.

Adding Members to UDGs

CMPD Software Groups are 'seeded' with suggestions for Group Members. For example, the UDG 'Brand' includes one member by default, 'Colt'. To add more Members to a Group:

  1. Click on Inventory on the Main Menu:

  2. Mouse over 'User-Defined Groups'.
  3. For illustrative purposes, choose 'Brand' from the list.

    An editing screen will open with the UDG 'Brand' displayed in the Group-Name Field (near the bottom).

  4. In the box below the box containing the name of the UDG 'Brand' enter other names of firearm brands, like Browning,Remington,Smith&Wesson (no spaces, separated by commas).

  5. Click on the 'Create-New-Members' Button:

  6. Note that the New Members have been added to the List of Members. (The blue background alerts that the Members have not been saved and recorded.)

  7. Click on 'Save Changes Locally' (saves changes on current screen) or 'Save Changes Globally' (saves changes on all UDG screens).
  8. Note that the colored background is removed from the List of Members and each New Member has been assigned an ID #. (In this database example, there were 98 UDGs already defined. The program used the next available ID # (99) to number the next new Member - Browning.)



UDG Editing Options

'Save Changes Globally' saves changes on all UDG screens.

'Save Changes Locally' saves changes on the current screen.

'Save Edited Member' - Select a Member from the list. Edit the name. Click 'Save Edited Member' to save the change.

'Save Edited Group Name' - This should not be used for Guns and Jewelry. It can be used to edit the names of other groups.

'Delete Chosen Member' - Select a Member from the list. Click 'Delete Chosen Member' to delete it from the list.

Record changes by using 'Save Changes Globally' or 'Save Changes Locally'. Changes will not be saved if one of those options is not used after edits have been made.
